Build and use your own workflow(s) to bring consistency to all your files

Workflows are one of our most wanted and used features that improve efficiency, limit human errors, and fit in your process. The flexible configuration enables you to build workflows that perfectly fit you.

Here is how:

Navigate in the topbar to "Workflows" and click "+ Create new workflow"

☝️ Please note: You need to be an Admin to be able to create, duplicate, edit and/or delete workflows.

Choose an existing template to start building on top of it, or "Start from scratch" to open the workflow builder:

Now you can start building your own workflow in the following five simple steps:

1. Fill in the title of your workflow: this is the name your app user will see listed in the app to perform the process.

2. Describe your workflow process step-by-step: The "Description" field on the left side is the text presented on the app, like an instruction to what needs to be done on that step. On your step configuration on the right side, you'll have the "Platform description" that will describe your result on.... well, the platform. You would find it nice to be directive in the app, and descriptive on the platform.

The selected step will be highlighted in light blue so you can then select the "Type" of data you want to collect on that step (and on). For that, you may choose one of the following types:

📷 Camera

These are the options available to capture visual records of your operation.

  • Snap – take one photo

  • Serial Snapper – take multiple photos

  • Video - Record a video

  • Document – scan a document

📝 Forms and Fields

The following options are ideal if you need to collect input (typed or selected) from your app user.

  • Fill a form – fill in one of your pre-made forms

  • Add Field – fill in data for one specific field. It can be a number, text, or an item from a list

🔎 Scanners

These are your tools to also get searchable/filterable inputs from your team, but using the app camera to do so:

  • Barcode scanner – scan a barcode or QR code

  • Serial barcode scanner – scan a series of barcodes to be added to your file (e.g. for checking a packing list)

  • Container code scanner– scan a container number

  • Container Seal scanner - scan the value of a container seal into your file.

  • License plate - scan a license plate

Other

  • QR Fields – scan a QR code built in a JSON format so you fill in multiple searchable tags (fields) in your file

  • Share to Contact List [by scanning a barcode] – organise your customers on a Contact List. When you give the list its own unique ID, this ID may be printed in a barcode to be scanned, and when so, it triggers the sharing of the file to the customer e-mails listed on your Contact List.

Can you imagine how many diverse flows you can build with these blocks!?

3. Keep adding steps until your workflow is finished: The steps can be re-sorted by drag-and-dropping with the square icon on the left side. You may allow skipping a step if it is not mandatory, to do so, check "Can be skipped".

4. Set "Advanced settings": You may set some specific settings to suit your needs. Such as:

  • Language: This allows you to publish the same workflow for users using different languages as set on the Teams

  • Clear reference after completing workflow: This allows to clear the top-reference on the device, forcing the app user to scan/fill a different reference

5. Save changes: When you have finished creating the workflow, click on "Save changes" and your workflow is ready for use.

⏭️ Once your workflow is saved, you'll be able to add Actions to follow up on your workflow. Read more here.

Of course, you have the flexibility to edit the workflow if some steps don't work out as planned. Simply navigate to 'Workflows', click on the three dots, and then select 'edit' to enter the workflow builder and adjust the flow as needed.

⚠️ Be aware that the workflow is only visible on your devices, when your workflow widget is enabled in the device-widget settings! Check this article.

Now reload the settings of your device. Your workflow is now ready for use!

Use the workflows on App

Step 1: Choose your reference widget on the top and fill in the reference.


Step 2: Start the workflow. When you want to skip a certain step, press skip. Make your snap and go to the next step by pressing "save" button. You can always exit the workflow by clicking "exit" (X) button.

Be aware, when leaving the workflow without saving, you will lose the data entered.
