Cargosnap does not know one file from another, so sharing files with the "right" person automatically does require some input from users (or one could use an API).
But as always, we try to make this process easy and effortless, so there is another option that can be a good solution you'll come to love!
How to automatically share files
To initiate the sharing from a customer-specific workflow, you can use Contact List share (CL Share).
CL Share allows you to set up a Contact list of recipients of each customer. Then, you can enable a workflow that allows the warehouse staff to conduct one of the below options:
Scan a barcode that refers to the specific Contact List (Step 2.1)
Select a contact list from a dropdown (Step 2.2)
Share the file with a contact list after the workflow has been finished (Step 2.3)
Let's see how that works, and set it up!
Set up a Contact List Share
Step 1: Create your Contact Lists
Firstly, you need to enable and create one or more Contact Lists.
As a SuperAdmin, go to your "Company settings", then click on the "Permissions" tab to enable the Contact Lists (CL) feature:
This will enable the Contact Lists on your left side menu. Click the CL and then the + sign:
From here, make one CL for each of your customers. You may add one or more e-mail addresses for each client.
☝️ Important: Each customer should have a unique reference (Customer ID). This reference will be needed at a later stage (2.1). You may want to use the customer number from your WMS as the customer ID in Cargosnap.
Step 2: set up a workflow step, linked to the CL's
If you want to know more about how to build a workflow. Read it here.
To choose the right way to set it, you need to take into consideration if you're sharing your file always with the same contact list (2.3) or could be different contact lists depending on your inspection (2.1 and 2.2)
Example: Imagine you have a standard process to inspect outbound cargo for all your customers. In this process you want to: scan a document, take some images, and then share them with the customer. Your workflow will then look like this:
Step 2.1: Scan a barcode that refers to the specific Contact List
Bear in mind that the barcode should be your 'Customer ID' as set on your Contact List'.
The third step of your workflow will be a camera scanner so that your operator can scan the barcode that refers to the customer you want to share your inspection results with.
Step 2.2: Select a Contact List from a dropdown
⚠️ Important: This will give your mobile operator access to all contact lists.
Instead of scanning a barcode, your operator will chose from a list the customer you'll be sharing your inspection result with.
Step 2.3: Action to a workflow (Share with Contact List)
Share the file with a contact list after the workflow has been finished. Read more on this article.
This is the setting that will share every file created with this workflow always with the same Contact List. It's very handy for customer-specific workflows, for example.
Step 3: Use it!
In the app, start a new file for your customer and open the workflow. Once you get to the CL Share step, the app will ask you to either scan a barcode (2.1) or select from a dropdown (2.2). If you didn't set a step on your workflow, but added an action instead, simply complete the workflow (2.3) and the file will be automatically shared!
