A file can be shared easily on a file. But what if you have so many shipments this becomes a burden? Sharing automatically is the answer!

CargoSnap does not know one file from another, so sharing files with the "right" person automatically does require some input from users (or one could use an API).

But as always, we try to make this process easy and effortless, so there is another option that can be a good solution you'll come to love! 

The use case example:

Imagine that you -WarehouseCo- have a customer -ShipCo- who wish to get insight in to EVERY shipment you handle through your facility for them.

Now, with your WMS, you have control over a lot of your data, and naturally can separate information relating to ShipCo from your other clients. Often, you will have your own unique reference to a particular shipment (54321), but also, ShipCo have their own reference (987654).

Wouldn't it be easier if you can direct every file that relates to ShipCo with automatically once the shipment is done?!

How to automatically share files

To initiate the sharing from a customer-specific workflow, you can use Contact List share (CL Share).

CL Share allows you to set up a Contact list of recipients of each customer, with an own number or reference (Customer ID). Then, you can enable a workflow that allows the warehouse staff to scan a barcode with that reference and that will share the file with your client.

Let's see how that works, and set it up!

Set up a Contact List Share

Step 1: create your Contact Lists

First of all, you need to enable and create one or more Contact Lists.
As a SuperAdmin, go to your CargoSnap account settings and enable the Contact Lists (CL) feature under "Permissions":

This will enable the Contact Lists in your left side menu. Click the CL and then the + sign:

From here, make one CL for each of your customers. You may add one or more e-mail addresses for each client.

Important: Each customer should have a unique reference (Customer ID). This reference will be needed at a later stage. Probably you want to use the customer number from your WMS.

Step 2: set up a workflow step, linked to the CL's

(see here for how to build a workflow)

Imagine you have a standard process to inspect outbound cargos for all your customers. In this process you want to: scan a document, take some images, and then share to the customer. Your workflow will then look like this:

Pay attention to that last step: here you define the use of the "CL share".

Step 3: Use it!

In the app, start a new file for your customer and open the workflow. Once you get to the CL Share step, the app will ask you to scan a barcode. Then scan the barcode containing the Customer ID you assigned to one of your customers. Click save and....behold: your client can access the file!
