Updated over a week ago

When working with files, you may have multiple records of your operation, such as photos, videos, and filled forms. These records may come from different workflows, as you build the best and most complete file with your operation evidences.

Fortunately, our file content page offers a variety of filtering and organizing options to help you easily access the data you need.

Filtering by Workflow

One file might have records from different parts of your process - from different workflows in fact. Once in your file's page, you can filter its content by workflow. This is especially useful if you need to access records from a specific run.

To filter by workflow, click on the "Filter on workflow run" button and select the desired workflow from the drop-down menu. The page will then update to show only records from that workflow.

Filtering by Record Type

One other way to narrow down your search is by filtering your file content by record type. To do this, simply click on the "Show all" button located right below the summary box of the file content page.

A drop-down menu will appear, allowing you to select the specific record type you are looking for, such as "Snaps", "Videos", "Forms" "Seal" scanned, or even "Fields". Once selected, the page will automatically update to display only the records of that type - and you can also choose if you want to include all filtered items in your shared-view (also applies to PDF report) or exclude it. Read more about this feature here.

Organizing Your Data Chronologically

If you prefer to view your records in a specific order, you can organize them chronologically. This means that the most recent records will appear at the top of the page, making it easier to keep track of your most recent activity. To do this, click on the "Sort" icon button. From there, you can choose to sort by oldest or newest records first.

Choosing Your View

Lastly, you have the option to view your file content in either a list or grid format. The default view is set to list, but you can easily switch to grid view by clicking on the "View" icon button. This will display your records in a grid layout, making it easier to see multiple photos side-by-side at once.

With these filtering and organizing options, you can easily navigate through your file content and find the information you need. Whether you need to filter by record type or workflow, organize your data chronologically, or choose your preferred view, our file content page has you covered. Happy organizing!
