Some workflows are specific to one location or one customer. How to then present it to the right employees? Well, this is one of the use cases of "Teams": it allows you to group devices and users into groups that handle the same scope of work. They share settings, but you can also set up the permissions in such a way that they only see their own -relevant- files in the platform.
Set up a new Team
☝️ Note: you need to be a SuperAdmin or LicenseAdmin to do this.
Navigate to your company's name in the upper right corner and select 'Teams, Devices, and Users:
Select the button '+ Create new team'
Give the new Team a name, representing the physical location of the site or the name of the team working on the same activity.
You can also select a default language setting for the site:
3. Click "Create" and that's it, you added a Team! Now you can proceed to add devices and users and when you do, you may select this new Team.
Managing your Team's settings
Within the team, you're able to set specific settings for that particular group of users and devices. Click the name of your Team to configure it according to your needs.
Damage types
Select and deselect the damage types that will appear as options on the damage type list for all devices linked to this team. Whenever the device is taking a picture with the app, this list will be available for the app user to identify the damage they're taking the photo of. If this team is not working with trucks, for example, you can make the "Dirty truck" option unavailable for this team.
Document types
It goes the same way as the Damage types but for the document scanner tool in the app. When your operator needs to scan a document with the app, they'll have a list of document types available to choose from, according to the setting of the team the device is linked to.
Default device settings
That's where you'll define if the devices linked to this team will store a copy of the images that are being taken with the app also on the device's gallery; if this team will be allowed to upload data without a Wi-Fi connection (using mobile data).
The section is also where you can manage the widgets available for the devices and set a Reference warning: a rule to accept a certain format for the references this team will use.
By default, the "Reference warning" is set to match all formats, allowing the team to have any format of "file name". However, you can configure a specific format using a regular expression, so this team will only accept this format of reference to create new files.
Default sharing settings
You can also set a "sharing rule" for this team so that every new file registered by a device linked to this team will automatically be shared with a specific Subject line (e-mail) and/or shared to a contact list.
