Share a specific workflow run only
Are you handeling multiple workflows in a single file (e.g. when you are handeling multiple containers for one shipment)? Then it might happen that you only want to share a specific workflow run with your customer.
What is included in a share?
First of all, it's important to know that you can easily include and exclude the items from your workflow that you want to share or not to share, whether it's a snap, a scanned barcode or a document. See below:
Follow the below steps to easily share your specific workflow:
1. First, exclude all filtered items in your file:
- Filter
- Show all (default setting)
- Exclude filtered items from your share
2. Filter on your workflow run that you want to share:
On the left side, you will find the option to 'filter on a workflow run'.
3. Select the items from the filtered workflow and enable the share toggle:
As mentioned in the beginning of this article, include/exclude the items you want to share.
Important: select every item manually and don't use the 'filter + select all', because then all items from the file (all workflows) will be included.
4. Finally, share the selected items from your workflow through:
- 'Create report' (PDF)
- 'Share file'
That's it!
You now easily shared your specific workflow with your customer.
Tip: How to organize this differently?
You can also decide to turn it around where every file represents a specific container / workflow:
By adding a field in your workflow with your customer reference, you can easily filter on reference (container number), or on the field (e.g. client name):
By selecting the specific files, you can even group these together in a share or created report (PDF):
